Organisation Setup Guide

This guide explains how to set up and manage an Organisation in Sense Path, allowing multiple staff members at your school to share profiles under a single subscription.


What is an Organisation?

An Organisation in Sense Path lets you:

  • Share profiles across multiple staff accounts — everyone in the organisation can view and assess all children
  • Use one subscription to cover all staff members
  • Collaborate — any staff member can add profiles, run assessments, and generate plans
  • Centralise management — the organisation owner controls membership and settings

This is ideal for schools where multiple teachers, teaching assistants, or SENCOs need to work with the same group of children.


Who Should Set Up the Organisation?

The person who sets up the organisation becomes the Organisation Owner. This should typically be:

  • The staff member who holds (or will hold) the Sense Path subscription
  • A SENCO, inclusion lead, or administrator who manages sensory needs across the school

The owner is responsible for:

  • Managing the subscription and billing
  • Adding and removing members
  • Setting the organisation name

Setting Up an Organisation

Step 1: Ensure You Have an Account

If you don't already have a Sense Path account, create one at app.sensepath.org/sign-up.

Step 2: Create the Organisation

  1. Log in to Sense Path.
  2. Navigate to OrganisationCreate Organisation (or look for the option in your navigation menu).
  3. Enter your Organisation Name (e.g., "Oakwood Primary School").
  4. Click Create.

Your organisation is now set up and you are the owner.

Step 3: Invite Staff Members

  1. Go to OrganisationManage.
  2. In the Add Member section, enter a staff member's email address.
  3. Click Add.

The staff member will be added to your organisation. They must already have a Sense Path account with that email address, or create one.

Note: Each staff member needs their own Sense Path account. They sign up individually and you add them to the organisation by their email address.

Step 4: Repeat for All Staff

Add all staff members who need access. There is no limit on the number of members in an organisation — the subscription limit applies to the total number of child profiles across all members.


Managing Your Organisation

Viewing Members

Go to OrganisationManage to see a list of all current members, showing their names and email addresses.

Removing a Member

  1. Go to OrganisationManage.
  2. Find the member you want to remove.
  3. Click Remove and confirm.

When a member is removed:

  • They lose access to shared organisation profiles
  • Profiles they created remain in the organisation
  • Their individual account continues to work with the free plan

Changing the Organisation Name

  1. Go to OrganisationManage.
  2. Edit the Organisation Name field.
  3. Click Save.

How Profiles Work in an Organisation

  • All profiles are shared. Any profile created by any member is visible to all other members.
  • Any member can assess any profile. Staff can run assessments on children created by other members.
  • The profile count is shared. Your subscription's profile limit applies to the total number of profiles across all members combined.

Example

If your subscription allows 25 profiles:

  • Teacher A creates 8 profiles
  • Teacher B creates 10 profiles
  • The SENCO creates 7 profiles
  • Total: 25 profiles — the limit is reached across all members

Subscription and Billing for Organisations

The Organisation Owner's subscription covers all members. Only the owner needs a paid subscription — other members do not need their own.

  • The subscription profile limit applies to the total profiles across the entire organisation.
  • If you need more profiles, the owner upgrades their subscription.
  • Billing (invoices, payment) goes through the owner's account.

Frequently Asked Questions

Can a member belong to more than one organisation?

Currently, each user can belong to one organisation at a time.

What happens if the owner leaves?

Contact us to transfer ownership to another member.

Can members delete profiles created by others?

Members can view and assess all shared profiles. Deletion of a profile can only be done by the profile's creator or from within their account context.

Do members need to pay separately?

No. Only the organisation owner needs a subscription. All members share the owner's subscription.

Can I convert an individual account to an organisation?

Yes. If you already have profiles on an individual account, you can create an organisation and your existing profiles will be shared with the organisation.
